Privacy Notice for Nia our new family hub chat bot

Personal information usage:

In using Nia (our bot) we may collect and store the information you input to the bot (conversations). These conversations will be stored for 6 months and then deleted. This could include things like your postcode depending on your enquiry. If you choose to leave us feedback, that will also be held in the same way, but we will not ask for any personal information. Please do not enter personal details such as your name, address, or ID numbers, as we keep a record of the questions asked for training purposes and analytics

Will we share the data you submit to the bot?

The information you submit to the bot will not be shared with any external partners outside of BCP Council, with the exception of feedback if you choose to provide that. If you do choose to provide feedback, this information will be reviewed by the Service Analytics Team within IT Services who can then use it to enhance the bot to see how we can improve it. The bot has been developed on the Microsoft Azure platform.

Impartiality of Responses

The chatbot is designed to provide neutral and unbiased information based solely on publicly available content and approved service data. It does not promote any particular viewpoint, organisation, or service provider. If a question falls outside the scope of the Family Information Hub, the chatbot will aim to guide you to appropriate sources without favour or judgement

How will we store the information given to Nia?

The information that is submitted to the bot is stored in the Microsoft Azure Cloud and deleted after 6 months.
